Using Gmail’s bottomless pit of data wisely

QHow can I keep Google’s Gmail from making multiple copies of an e-mail, then storing the copies in different folders such as Inbox, Sent, Draft and All Mail? Also, if I clean out my full Sent folder, every copy of that e-mail in every folder is deleted.
